The case study company has received the first report from its enterprise content management (ECM) consultant and now has a documented list of major content requirements for the organization. Knowing what content is needed provided some surprises, and there is general agreement that this needs list was lacking. There is also general agreement that it is important to understand how data are currently managed before steps can be taken to improve ECM. Toward this end, the ECM consultant has determined the next step to be an Assessment of the company’s current information infrastructure and content management processes. A more detailed list of required content and the tools used to manage this content will also provide a solid foundation for future ECM planning. What information should be included in this type of detailed Assessment?
Assignment
One of the first tasks in the development of an enterprise content management manual is to evaluate the enterprise information infrastructure and content management processes. The enterprise information infrastructure and content management processes consist of the data and how they are collected, managed, and stored throughout their life cycle.
For this assignment, you will conduct an in-depth Assessment of the enterprise content management infrastructure and content management processes in your selected organization. If the organization already has an enterprise content management system and formal content management procedures in place, you will document the existing system and procedures. If there are currently no formal ECM system or content management procedures in place, you will document the informal parts of the system that exist.
The following are the project deliverables:
Update the Enterprise Content Management and Data Governance Policies and Procedures Manual title page with a new date and project name.
Update the previously completed sections based on instructor feedback.
Information Infrastructure Assessment

Update the Enterprise Content Management and Data Governance Policies and Procedures Manual title page with a new date and project name.
The following manual contains the policies and procedures for the proper management of the organization and the storage of an organization’s valuable content and documents, which are related to business processes. Additionally, the manual provides the formal policies and processes that promote data quality, management, and policies. Business process management and risk management are the most important in solving the organization’s top issues (Levykin, and Iuriev, 2019). The project is a linear project that follows several stages: requirements, planning, development, review, implementation, and follow-up. The organization offers cloud computing services to businesses of all sizes. However, the business organization offers services, such as designing and developing applications and data management using remote servers accessible through Internet-connected devices. The organization has no formal ECM process; hence, it consists of an informal ECM system.
Update the previously completed sections based on instructor feedback.
According to the instructor’s feedback, the organization lacks proper enterprise content management and no documentation of the content used. The organization does not know where the data originates from and how to manage the data (Levykin, and Iuriev, 2019). According to the instructor’s feedback, the problem extends to how data is protected, where the client’s data stored in the system is not safe. On the other hand, the data stored is not protected, content is changed anyhow, unauthorized persons, and duplicated. Most of the content stored in the organization is unnecessary, costly, and useless.
Information Infrastructure Assessment
The information infrastructure valuation begins by first exploring organizational content through a cloud-based process. The cloud-based solution Helps in accessing informal content management in the organization. The cloud-based solution is the best practice for the organization, considering that the organization has no formal enterprise content management. However, the solution is effective because of the ability to run software applications that can run similar resources and computer systems. The process, however, Helps in retrieving and accessing any client’s information quickly and from any location.
Content List
The content identified from the organization is both structured, and unstructured, mostly due to the absence of an enterprise content management.
• Microsoft Office documents
• Videos
• Graphics
• scanned images
• production graphics
• and engineering documents.
Structured content was also identified, such as organizations, accounting information, human resource database, payroll, and employees’ formal records (Levykin, and Iuriev, 2019). For instance, employees’ pay status, training information, personal identification information, and business consulting information. The content was, however, identified through the cloud-based content identification method. The cloud-based identification method involves automatic identification, classification of data, and searchability. However, the process enables artificial intelligence and machine learning systems to release content and other enterprise applications holding data.
Content Management Tools
The organization should apply the latest content management tools to test, edit data, promote collaboration, and integrate with other types of tools. The types of content management tool, includes word press, a square space, and a HubSpot (Levykin, and Iuriev, 2019). A HubSpot promotes A/B testing, promotes the personalization of content, and acts as a marketing platform for the business. A Squarespace is best designed with multiple customization options, where users have the privilege to download various fonts, colors, and design elements. A word press, on the other hand, is offered free and easy to use.
Enterprise content management (ECM) is the best content management process that should be developed in the organization. The ECM is a tool and a method that captures, manages, stores, stores, preserves, and delivers content related to the organizational processes. The best part about the ECM is that the content management process manages unstructured documents from any location (Levykin, and Iuriev, 2019). However, the ECM manages the organization’s documents, delivers, captures, stores, and preserves essential information making content accessible to the targeted audience and at the right time.
Document the processes’ flow of content through the infrastructure.
